RAMZIN ESTATE BROKER LLC · Dubai, UAE

Effective: · Last updated: (Asia/Dubai)

1. Who is responsible

RAMZIN ESTATE BROKER LLC, trading as Ramzin Real Estate, is responsible for the property enquiry information described in this policy.

Our contact address is Business Point Building, Office 202, Port Saeed, Al Khubaisis, Deira, Dubai, UAE.

2. Information and its sources

This notice covers property enquiries made through our website and Meta Instant Forms. Depending on the form you use, we collect your name, email address, telephone number and property requirements. Requirements can include budget, property type, bedrooms, preferred area, timeline, purpose and financing preference; not every form asks for every detail.

Website enquiry forms also collect your selected property or service interest and any message you provide. Viewing requests include your preferred date and time. Brochure requests are saved as enquiries before the download link is provided. Find My Property asks about your property action, goal, property type, bedroom preference and contact details.

Website submissions include the page where you enquire and available campaign/referral information described in section 8. Staff may record the assigned agent, enquiry stage, notes and requested follow-ups, alongside record timestamps. For Meta Instant Forms, we receive the contact details and property-related answers you submit in the form used.

Please avoid including identity documents, banking details or other sensitive information in a general enquiry.

3. Why information is used

We use enquiry information to respond to your request, understand your requirements, provide relevant property information, arrange requested viewings and follow up on your enquiry. We also use it for internal enquiry management, including agent assignment, enquiry stages, notes and requested follow-ups. Available campaign/referral information helps us report internally on enquiry sources.

We only respond to requested enquiries. Your information is not used to send promotional property updates.

4. Enquiry responses, not promotional updates

Ramzin does not send promotional property updates. Submitting an enquiry or a property form is a request for an enquiry response, not blanket consent to marketing.

5. Who may receive information

Authorized staff can read and update website enquiries after signing in. Your assigned agent helps handle your request, but access is not limited to that agent. Only authorized administrators have permission to delete enquiry records.

Website enquiries are assigned to the listing's agent where one is set, or to a team member enabled to receive enquiries. An enquiry may remain unassigned if no eligible agent is available.

Ramzin does not share enquiry details with outside property developers, mortgage brokers or referral partners.

Our website hosting and database provider, Lovable, and its relevant service providers process information to provide those services. This technical processing is separate from sharing leads with property or referral partners. External services you choose to use, including Meta Instant Forms and WhatsApp, are described in sections 8 and 9.

6. Storage, security and retention

Lovable hosts this website, and website enquiries are stored in our Lovable Cloud database hosted in Europe (Ireland). Service-provider processing may take place outside the UAE; the database location does not mean that all processing, storage or backups remain in Ireland. Staff sign-in and role-based permissions restrict access to website enquiry records.

Our ordinary property enquiry retention procedure is manual, not an automated purge.

An ordinary property enquiry becomes inactive when its requested work is complete or after 90 days without substantive two-way contact, but only if there is no outstanding viewing, requested follow-up or active transaction. We record the inactivity date. Unanswered staff reminders do not restart the clock; substantive new contact can reopen the enquiry.

Inactive ordinary enquiries are reviewed monthly from inactivity and deleted sooner if there is no continuing justified need. 12 months from the recorded inactivity date is the maximum, not a minimum. Review timing or owner approval delays must not extend that maximum.

Exceptions require a documented applicable legal retention requirement or hold, limited to the necessary records and given a review date. Completed transaction, brokerage, anti-money-laundering, accounting and dispute records are handled separately from ordinary enquiries according to applicable requirements. The 12-month maximum is our ordinary-enquiry limit, not a statutory retention period for every category of record.

The designated handler at our privacy email checks with the assigned agent and obtains owner approval. An authorized administrator then manually deletes eligible live records and identified business-controlled copies. Eligible, verified deletion requests need not wait 12 months.

Backup copies may remain temporarily after active records are deleted. Active-record deletion does not immediately remove every backup copy. We do not specify an exact backup-erasure deadline or promise selective removal from backups. Restoring a backup can reintroduce previously deleted records; deletions are not automatically reapplied by a retention system.

7. Your privacy choices and rights

For privacy questions or requests, contact our monitored privacy inbox below. Tell us enough to locate the relevant enquiry and understand your request; please do not send identity documents unless we explain why they are necessary.

Depending on the law that applies and its conditions, you may have rights to information about processing, access, correction, erasure, restriction or objection, and receipt or transfer of information. Where processing relies on consent, applicable withdrawal rights may also apply.

We use proportionate verification, rather than routinely requiring identity documents. Eligible verified deletion requests need not wait for the 12-month maximum. Applicable legal requirements or holds may limit deletion, and backup copies may remain temporarily as described above.

8. Website technologies and additional processing

The website stores campaign/referral attribution in your browser's local storage. This includes available campaign source, medium and name, an external referring website's hostname, and the landing page pathname. Google or Facebook advertising click parameters can be used to infer a source and medium; the raw click identifiers are not stored in this attribution object.

Existing attribution is normally retained for later enquiries; a new campaign source or campaign name can replace it. The form sends the stored attribution with your enquiry. No automatic expiry is configured for this browser storage. Clearing the site's browser storage removes the local copy but does not delete an enquiry already saved in the database.

Favourite property IDs and comparison choices are also saved in your browser, not as enquiry records in our database. Clearing the site's browser storage removes these choices. Staff sign-in may also use browser storage to maintain a session.

The contact page embeds Google Maps; property maps load Google's map service. Listings with a video may load an external video player, including YouTube's privacy-enhanced player. Loading these services connects your browser to the relevant provider, which handles technical request information under its own terms. Our website is delivered globally by Lovable; this does not mean every enquiry database copy is stored in every delivery location.

9. External platforms and changes

After a website enquiry is successfully saved, the optional WhatsApp link opens WhatsApp with a message prefilled from the name, phone, email, interest/property and message you entered. Opening the link passes that text to the external WhatsApp service but does not itself send a message to Ramzin. You decide whether to send it in WhatsApp. Other WhatsApp links also require you to choose them.

External platforms, including WhatsApp and Meta Instant Forms, have their own privacy terms. User-selected platform sharing is separate from our practice of not sharing enquiry details with outside property developers, mortgage brokers or referral partners.

We may update this notice when our practices change. The effective and last-updated dates appear at the top of this page. For questions about this notice, contact our privacy inbox.
